What a useful inspection follow-up should do
A strong follow-up confirms what happened, points the client to the full report, names the next decision, and identifies the applicable deadline from the signed contract. It does not diagnose a defect, estimate repair cost, declare a property safe, or predict what the other party will accept.
Keep the inspection report intact and direct technical questions to the inspector or another appropriately qualified professional. Contract rights, notices, forms, and deadlines vary by transaction and jurisdiction, so use brokerage-approved language and consult the responsible broker or attorney when needed.

A simple inspection follow-up workflow
Track six fields in the transaction record: report received, secure report location, client review scheduled, contract deadline verified, response authorization received, and final resolution stored. Assign an owner and date to every next action.
Keep observations, professional opinions, client decisions, and negotiated terms separate. That makes the file easier to audit and reduces the chance that a draft email turns an unverified statement into a supposed fact.
How to use AI carefully during inspection week
AI can organize verified notes, shorten a recap, and turn an approved checklist into a readable email. It should not interpret photos, diagnose defects, invent repair scopes, select contract remedies, or calculate deadlines without human verification.
Remove unnecessary personal information, provide the exact audience and desired next action, and review the draft against the signed documents. Confirm names, address, dates, attachments, and who is authorized to receive the information before sending.
